Further, gCAP Software Ltd makes no warranties or representations about the accuracy or completeness of this website's content or the content of any third-party website, nor as to the functions contained herein or therein, or as to whether they will be uninterrupted or error-free, or that defects will be corrected, or that this website or the server are free from viruses or other harmful components. gCAP Software Ltd makes no warranties or representations regarding the use of materials on this website in terms of their completeness, correctness, accuracy, adequacy, usefulness, timeliness, reliability or otherwise. To the extent permissible by law, gCAP Software Ltd does not accept liability for any loss that may arise from reliance on information contained on or obtained through this website, or for any loss relating to your inability to access the website, or for loss relating to corruption or destruction of data. A quality system is in place, evidence of which is available for examination for a nominal fee.
  3. gCAP Software Ltd respects the privacy of each user of this website and endeavours to protect it. You do not have to register personal information to use most of the information and services available on the website. If you choose to register for our service we will use the personally identifying information you give us to send you an email confirming your registration and further emails whenever certain new company information is posted to the site. If you do not wish us to store your personal information please do not submit it to us. We use encryption, firewalls and other technology and security processes to protect your privacy from unauthorised access and improper use, and will update these measures as new technology becomes available, as appropriate. We will keep your data on our servers until you ask us to remove it. We will not disclose any personally identifiable information without your permission unless we are legally entitled or required to do so — for example, we reserve the right to share your personal information in response to duly authorised requests from governmental authorities, or where required by law, or where we believe disclosure is necessary to protect and defend our rights, property or safety and those of our users, customers and other interested parties. You can view all personal data that gCAP Software Ltd holds about you by logging in and visiting your settings page.
  4. If you wish us to stop using your personal information for any or all of the purposes detailed, or to be removed from our contact lists, please email us. We will stop using your information as soon as is reasonably possible, but please note that you may continue to receive material while we are updating our lists. We aim to keep our information about you as accurate as possible. If you would like to amend the details you have provided, please use the facility on the logon page. gCAP Software Ltd controls the personal data collected on this website.   6. Paid access to gCAP Software Ltd services is provided to business customers only. As all contracts for paid services are made between businesses, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 do not apply. Cancellation terms are agreed directly with gCAP Software Ltd at the time of contracting.

Privacy Information Notice

  1. Why we collect and process personal information. As a provider of software database solutions, gCAP Software Ltd collects data to allow users to store and recall their own data. This data is personally identifiable as it is associated with the user's unique ID.

    • Address
    • Email address
    • VAT number
    • User ID
    • Password (stored in encrypted form)
    • Where you heard about gCAP Software
    All data held is available to view using the online tools provided.
  3. Additional information collected for AOCMS.
    • Flights taken, including timings, crew, location and specific information about how the flight was made
    • Duty periods worked
    • Checks and qualifications obtained, including date done, renewal date and supporting documentation
  4. Additional information collected for Sirocco.
    • Incident reports, including date, time and description
    • Risks
    • Compliance information including steps taken to become compliant and supporting documentation
  5. How we process your personal information.
    • To provide you and, if applicable, your employer with access to your data
    • To keep track of aggregate flight and duty data to help users avoid exceeding limits
    • To help users keep track of their training and qualifications and warn of upcoming expiry dates
    • To allow your organisation to track incidents, risks and compliance
    • You may be contacted automatically by the system to warn or inform about upcoming issues or data that has been entered. These emails are only sent by request and the option can be turned off.
  6. How we collect information.
    • Information is entered either by the user or their employer using online tools
    • Data is occasionally changed by gCAP Software personnel as a direct result of a request from the user or their employer, e.g. to update an email address
  7. Data retention.
    • Data is stored for the user to access in the future and is retained — including any uploaded images and documents — until the user requests deletion
    • All data can be deleted on request
    • All data is backed up daily and stored on-site, on a cloud backup server, and off-site in encrypted form
  8. Marketing.
    • Data is not used for marketing purposes, either individually or in aggregate
    • We may contact you to inform you of changes such as a domain change or terms and conditions update
  9. Security and storage of information.
    • The site is hosted on a secure server in the UK and all data exchange uses SSL encryption
    • The system uses password protection and passwords are stored in encrypted form
  10. Cookies.
    • The site uses cookies (small text files) stored on your local machine
    • Cookies are used to store your current session ID so that you are recognised as you navigate the site
